Privacy Policy
We respect your privacy and recognise the importance of protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, retain and safeguard information when you visit our website, contact our team or use our application assistance services.
Some services described in this policy, such as our online application form, checkout and SG Arrival Card assistance, are being introduced progressively. Where a service is not yet available, this policy describes how we intend to handle information when it launches.
1.Information We Collect
The information we collect or process depends on how you use our website and services. It may include the following.
Information you provide to us
- Full name and date of birth
- Nationality and citizenship details
- Passport and travel-document information
- Passport biodata-page images
- Passport-style photographs
- Contact email address
- Telephone number, where supplied
- Residential address, where required
- Employment or business documents, where required
- Travel itineraries and accommodation details
- Arrival and departure dates
- Information relating to a child, where it is submitted by a parent or authorised guardian
- Correspondence with us about an application or enquiry
Information about an application, such as passport images and supporting documents, is collected only when you use our application services as and when they become available, or when you choose to send it to us.
Payment-related information we receive
When online payment becomes available, we expect to receive information such as payment status and transaction references so that we can match a payment to an application and keep appropriate records. See Payment Information below.
Information collected automatically
When you visit our website, some technical information is processed automatically. Depending on the tools in use, this may include the pages you view, the page that referred you, your browser and device type, approximate location, and the IP address that our hosting infrastructure processes in order to deliver and secure the website. See Cookies and Website Technology.
2.How We Use Information
We use personal information for purposes connected with our services, including to:
- respond to your enquiries;
- assess whether documents and information are complete;
- prepare visa applications for eligible travellers;
- communicate with applicants, including about corrections or additional documents;
- submit applications through the applicable authorised channels;
- assist with SG Arrival Card submissions, when that service becomes available;
- communicate application outcomes when they are available;
- keep appropriate transaction and service records;
- help prevent fraud or unauthorised activity; and
- meet our legal and regulatory obligations.
Visa decisions are made by the relevant Singapore authorities. We do not control whether an application is approved.
4.Payment Information
Our intended payment provider is Stripe. When online payment facilities are available, payment transactions may be processed through Stripe or other payment methods expressly offered at checkout. Payment providers process payment information under their own applicable privacy and security practices.
We do not ask customers to send card numbers or passwords to us by email. Our online application and checkout are being introduced progressively, and this section describes how we intend to handle payments once they are available.
6.Information Security
We are committed to using reasonable technical and organisational measures to protect personal information against unauthorised access, use, disclosure, loss or misuse, and we aim to restrict access to information to people who need it for the purposes described in this policy.
No method of transmission or storage is completely secure, and we cannot guarantee that information sent over the internet will be free of risk. Please take care when sharing documents and keep your own email account secure. If a data breach affects your information and the law requires us to notify you or an authority, we will do so.
7.Data Retention
We keep personal information only for as long as is reasonably needed to deliver our services, meet legal and regulatory requirements, keep proper records, and resolve disputes. When information is no longer needed for those purposes, we delete it or remove the link to an identifiable person, where appropriate.
8.International Processing and Transfers
Travel-document assistance is cross-border by nature. Your information may be processed or shared in countries other than the one where you live, including Singapore, for example when it is submitted to Singapore authorities or handled by our service providers.
Where we transfer personal information across borders, we take reasonable steps to ensure it is protected to a standard suitable for the circumstances and consistent with applicable law.
9.Children's Information
A parent or authorised guardian may submit information about a child for the purposes of the child's travel application, because each traveller needs an individual application. We use that information only for the same purposes described in this policy. If you are a parent or guardian and have a question or concern about a child's information, please contact us.
10.Access, Correction and Privacy Requests
Subject to applicable laws, you may ask us to tell you what personal information we hold about you and how it is used, ask us to correct information that is inaccurate or incomplete, withdraw consent that you have given where it applies, or raise a concern about how we handle your information.
To make a request, email us at [email protected]. We may need to confirm your identity before acting on a request. Withdrawing consent may mean that we can no longer provide some or all of our services.
We take Singapore's Personal Data Protection Act 2012 into account as a relevant framework, including its principles on purpose, notification, protection, retention, access and correction, and overseas transfers. Because we may serve applicants in many countries, other data protection laws may also apply to your information.
11.Policy Updates
We may update this Privacy Policy from time to time, for example when our services or the way we handle information changes. The current version will always be available on this page. Where the law requires it, we will tell you about significant changes in an appropriate way.
